Vendor guide
An organizer you sell with uses Barrow Pay to handle payments and paperwork. For you that means seeing exactly what you would pay before agreeing, finishing one checklist from your phone, and never chasing a payment or a permit deadline again. No app, no password.
1 · Your invite
It starts with an email: the venue, what you pay, how often it is billed, and the first bill date. The full terms, before anything is asked of you. Accepting takes you straight to your portal. Invite links last 30 days; if yours has expired, ask your organizer to resend it.
Read the amount carefully, because it means different things at different venues. Usually it is a monthly or weekly amount for a standing spot. At a one-off event it is a booth fee charged once. At a market where you pick your days it is the price of one market day, and your bill is that times the days you are booked for. The invite always says which.
2 · The checklist
Your portal lists exactly what this venue needs, typically some mix of documents, a signature, and acknowledgments. The progress bar shows what is approved and what is still being reviewed. Every vendor at this venue completes the same checklist, and we remind you before anything expires so you are never caught out on a selling day.
- Document uploads. A clear photo or PDF works, up to 15 MB. When you pick a file we read it and fill in the expiry date for you, showing you what we read so you can correct it if we got it wrong. If the file looks like a different kind of document than the one being asked for, say a W-9 where the insurance certificate goes, we will say so before you send it. That is a heads-up, not a block; you can always send it anyway.
- Things to read first. Some requirements come with a document from the organizer, like park rules or a policy. You will see a link to open it above the box where you sign or acknowledge.
- Signing the agreement. Read the organizer's agreement right in the portal, then type your full legal name. That is your electronic signature, recorded with a timestamp.
- Review. The organizer checks each document. You will see "In review" turn to "Approved," or a note if they need something fixed. When everything is in, the portal says so, and we email you the moment you are approved.
Changing something you already sent
You can see everything on record in your portal: the file you sent, the answer you gave, the date you signed. Got a newer version of a document? Send it whenever you like. Your current one stays valid while the organizer looks at the new one, so nothing lapses because you were being helpful. If an organizer needs something redone, the item reopens in your portal and you get an email explaining what they need.
The insurance certificate (COI)
Venues need a certificate from your insurer naming their business as certificate holder and additional insured. Certificates are free and usually take 1 to 3 business days, and your checklist email includes the exact request, written out, that you can forward to your insurance agent word for word. Because certificates name a specific venue, each new venue needs a fresh one. Your policy doesn't change, just the paper.
3 · Paying
Connect your bank once
Tap Connect bank and pick your bank through Stripe, the payment company behind millions of businesses. Barrow Pay never sees your login or account numbers. If your bank isn't on the list, you can enter your account details and verify with two small deposits instead, which takes a couple of days and works with any bank.
Bank payments (ACH) are used because they are nearly free, so no card surcharges get baked into what you pay.
Autopay
With autopay on, each invoice is collected from your bank automatically on the due date, and you get a receipt when it settles. Bank payments take a few business days to clear, and during that time your portal shows the payment as processing. Prefer to pay manually? Leave autopay off and tap Pay now on any invoice.
What "amount due" means
The big number is what you owe right now. If your next payment is coming up soon it shows with its date, so there are no surprises. Sell at more than one venue with the same organizer? The total breaks down by venue underneath, so you can always see which is which. Invoices themselves arrive the morning of the due date.
If a payment fails
It happens, through a low balance or a changed account. We retry automatically over the following days and email you each time with a link to pay or fix your bank connection. Staying current protects your spot; if everything fails, your organizer is notified and your spot may be paused until it is settled.
4 · Picking your days
Some markets let you choose which days you come instead of paying a flat amount. If yours does, your portal shows the market days for the month with a box beside each one. Tick the days you want and save.
- Picks close before the month starts, and your portal says the exact date. You can plan two months ahead.
- Asking is not the same as having. Days show as asked until the organizer decides, because a day can only hold so many stalls. You get one email with your confirmed dates, anything that did not come through, and what the month comes to.
- Your bill follows your days. It is your day rate times the days confirmed, collected as one payment for the month, the usual way.
- Plans change. Tap Can't make it on a day you were given and it comes off your bill, frees the spot for somebody else, and tells the organizer. Changed your mind again? Ask for it back. What you cannot do is drop a day that has already arrived.
- If the organizer calls off a market day, you are emailed so you do not turn up, and it comes off your bill.
Once a day is decided it stops being editable from your side, because that decision is what set your bill. Anything else, message the organizer.
5 · Staying current
When a document you uploaded is approaching its expiration date, we remind you at 30, 14, and 3 days out, by email plus a text if you have opted in, with an upload link for the renewal. The point is that nothing lapses without you knowing, so a selling day never turns on paperwork.
6 · Your Barrow Pay account (optional)
Your portal link always works and you never need an account. But if you sell at more than one venue, a free account gives you one login for all of them: every venue, every balance, every document, one page.
- Sign in at barrowpay.com with the same email your invite went to and everything you have already done attaches automatically.
- When another venue invites that email, accepting is one tap. Your bank connection and portable documents carry over, and insurance needs a fresh per-venue certificate as described above.
- Your name, phone, and text-message preference live in Settings on your vendor home. Texts can always be stopped by replying STOP.
Portal links last 60 days. If yours has expired, you can sign in with your email to get straight back in, or ask your organizer for a fresh link.
7 · Getting help
Reply to any Barrow Pay email and a person reads it. Questions about your rate, your spot, or your agreement belong to your organizer; questions about the tool itself belong to us.
